Learn how to use your Notion Agent to transform text, automate simple tasks, and generate new content inside your connected workspace.
Notion Agent is a connected assistant that helps you think bigger, work faster, and augments your creativity, right inside the functional workspace you’re already familiar with.
If your day to day involves reading docs, writing content, or taking notes, your Notion Agent can make you more efficient. There’s no need to bounce between tools to improve writing or extract insights. Plus, you don’t need to waste time on formatting, formalities, or straightforward text generation, helping you lean into the highest priority tasks in your day.
Your Notion Agent helps you write, edit, summarize, and find answers using the context from your page, your workspace, connected apps, and the web.
You can access your Notion Agent in a few different ways, depending on what you're trying to do:
To ask questions or run a task across your workspace, open the
Notion agentfrom the sidebar or the bottom corner of your screen. Ask it to summarize the current page, find something across Notion and connected tools like Slack or Google Drive, or take a multi-step task from start to finish. To improve existing content, highlight the text and select
Edit with AI. Give it a prompt like fix grammar, make it shorter, or change the tone, then accept, discard, or ask it to try again. To draft or generate new text, press the
spacekey on a new line and enter a prompt. Notion AI writes directly on the page, and you can @-mention pages, people, and dates to give it context.
In this guide, we'll explore practical ways to use these three actions to improve how you write, read, and edit documents.
Sometimes it's easy to get your ideas onto the page, but turning those thoughts into something polished enough to share with your team or the world can take much longer. Your Notion Agent can help you move from rough notes to a well-structured document in minutes. Here are a few ways to get started:
Write bullet points, have Notion Agent do the rest — job descriptions, performance reviews, and so much more. Write a list of requirements or accomplishments, then ask your Agent to “create a paragraph covering this content” or “make this sound more professional.”
Identify key insights faster — Use your Notion Agent to surface the most important information in a document, making it easier to understand the content at a glance. Try prompts like "create a list of the key takeaways," "summarize this in bullet points," or "organize this information into a table."
Analyze large sets of text — Whether you're reviewing customer feedback, survey responses, meeting notes, or support tickets, your Notion Agent can help you quickly spot patterns without reading every response. Highlight the text and ask your Agent to "identify the five most common themes," "summarize the overall sentiment," or "count how many times a specific request is mentioned."
Custom prompts to get you started
Not sure what to ask your Notion Agent? Here's a few things to try:
Create a list of bullet points with important items
Summarize this information in a table
Pull out common themes from this data
Your Notion Agent can quickly transform existing content to fit the task at hand, without the need to manually rewrite or reformat it. Whether you're adjusting the tone, translating text, or refining your writing, here are a few ways it can help:
Adapt tone of writing — the way you explain a project to peers might not be the right way to phrase something to an executive, even if the content is more or less the same. Take an existing draft or stream of consciousness paragraph, and ask your Notion Agent to “make this more professional,” or “summarize key points as an overview.”
Translate content into another language — if you’re working with a global team or global clients, you understand how time-consuming translation can be. Start with some text, submit a request in another app, wait a few days, then paste translated content back where you started. With Notion Agent you can generate quick, accurate translations between many languages, right where you’re doing the rest of your work.
Get synonyms and define words — whether you’re reading a complex doc and need to quickly define words, or writing one and trying to find the right phrase to capture your thoughts, Notion AI can help. Get your thoughts on the page in whatever form they come to you, then simply highlight a selection of text and select an option from the dropdown.
No matter how you're using your Notion Agent, the quality of the output depends on the quality of your prompt. The more specific and detailed your instructions, the more useful the response will be. We even asked Notion Agent for its own advice on writing better prompts (and couldn't have said it better ourselves).
Keep these tips in mind when writing your prompts:
Start with a clear goal — What do you want your Notion Agent to help you create or accomplish?
Be specific — Clearly describe what you're looking for so your Agent can generate a more accurate response.
Provide context — Include any relevant background information, constraints, or requirements, such as the intended audience, tone, format, or desired length.
Keep it simple — Use clear, straightforward language instead of overly complex instructions.
Remember, your first prompt doesn't have to be perfect. You can continue the conversation with your Agent, asking it to revise, expand, or refine the output until it matches what you're looking for.
Instead of “Write an Instagram caption about interior design,” ask it to “Write an Instagram caption about modern light fixtures. Keep the tone friendly, limit the caption to 300 characters, and include 3–5 relevant hashtags.”
Instead of “brainstorm product features for a software app,” try including specific goals your team is trying to accomplish, and a description of what your software app does.
